Executive Assistant to Chief Executive Officer

The Global Business Alliance (GBA) is seeking a dynamic professional with at least two years of demonstrable experience to provide high-level administrative and strategic support to the President & CEO.

About the Job:

This role requires exceptional organizational skills, attention to detail, and the ability to work proactively in a fast-paced environment. The Executive Assistant is responsible for managing the CEO’s calendar, coordinating travel and meeting logistics and ensuring an enjoyable experience for office visitors. The ideal candidate excels at prioritizing tasks, anticipating needs, “managing up” and ensuring the CEO is prepared for all engagements.

Key Responsibilities Include:

Calendar Management & Coordination

  • Maintain and manage the CEO’s complex calendar, as well as key organizational calendars, ensuring efficient scheduling with strategic foresight.
  • Anticipate and resolve scheduling conflicts, prioritizing urgent matters.
  • Coordinate internal and external meetings, conference calls and special events.

Travel Planning & Logistics

  • Arrange detailed travel itineraries, including flights, ground transportation, and accommodations.
  • Prepare travel agendas and materials so the CEO is well-prepared for meetings, events, and site visits.
  • Track and reconcile travel expenses in a timely manner.

Meeting Preparation & Follow-Up

  • Prepare meeting agendas, presentations, and relevant background materials (e.g., PowerPoints, reports, memoranda).
  • Take notes, document action items, and ensure timely follow-up on outstanding tasks.
  • Help the CEO and the organization create and keep impeccable timelines.
  • Maintain a high level of integrity and handle sensitive information and communications with utmost professionalism and confidentiality.

Office Operations

  • Greet and assist all visitors and guests, ensuring a warm and professional experience.
  • Maintain a clean, organized, and well-provisioned meeting space.
  • Complete special projects and additional administrative duties as assigned.

Qualifications & Skills:

  • Education & Experience: A minimum of 2 years in an Executive Assistant or similar high-level administrative role. Bachelor’s degree or comparable experience required.
  • Technical Proficiency: Strong command of Microsoft Office (e.g., Word, Excel, PowerPoint, Outlook and SharePoint). Familiarity with project management or collaboration tools is a plus.
  • Organization & Time Management: Demonstrated ability to manage complex calendars, prioritize competing deadlines and multi-task efficiently.
  • Communication: Excellent verbal and written communication skills; capable of drafting professional correspondence and interfacing with various stakeholders.
  • Proactive Mindset: Self-starter who anticipates needs and takes the initiative to solve problems before they arise.

This is a full-time position based in Washington, D.C., with an expected annual salary starting at $65,000. Qualified candidates will interview, onboard and work in a hybrid office environment (currently Mon-Wed in the office and Thu-Fri remote, subject to change).

The Associate of Government Affairs will play a significant role in GBA’s advocacy efforts, helping to implement the government affairs strategy and working as part of a team to achieve favorable results for GBA’s members.

A successful candidate will have a strong interest in policies impacting global businesses, including U.S. macroeconomic trends and geopolitical awareness, as well as a demonstrated understanding of the legislative process and excellent analytical and writing skills. This candidate should be a strategic thinker, capable of anticipating project needs and meeting deadlines with high-quality work in a fast-paced environment.

  • Work closely with our state and federal lobbyists by implementing GBA’s research projects and preparing briefing and background materials
  • Daily drafting of legislative correspondence, letters, talking points, testimony and GBA member alerts
  • Manage advocacy correspondence with Capitol Hill and external stakeholders
  • Monitor and analyze legislation of importance to GBA members, such as tax, trade, investment, national security, appropriations, lobbying disclosure and campaign finance
  • Track congressional activity such as hearings, press releases and documents to inform GBA’s advocacy efforts
  • Manage an online database of congressional engagement and activity as it pertains to GBA’s advocacy efforts
  • Participate in planning, coordinating and executing of government affairs related events including membership meetings, the Economic Advisory Council and lobby days
  • Provide administrative and logistical support for all government affairs projects and events
  • Build surveys to gather information from GBA membership and inform GBA advocacy efforts
  • Bachelor’s degree
  • At least a year of related experience interning or working for a Member of Congress, trade association, or government affairs firm
  • Excellent writing and communication skills, with meticulous attention to detail and accuracy in work
  • Strong analytical skills and the ability to synthesize and communicate complex issues into clear messages that resonate
  • Proactive organizational skills, with excellent follow-through and a positive attitude in a dynamic, fast-paced work environment
  • Solid interpersonal skills with a high degree of professionalism
  • Demonstrated interest or experience in U.S. politics and macroeconomic issues
  • Proficient in utilizing Microsoft Word, Excel, PowerPoint, and other related software
  • Familiarity with Government Affairs tools such as Bloomberg Government and Quorum a plus
